Manage your account, your way

There’s a lot that goes on behind the scenes in Tapestry, and lots of things you can personalise to ensure your account suits you. On this page we cover the smaller, but still important, tools you have in your admin toolkit that will help you make the most of your subscription – such as adding children, staff and relatives, child transfers, and user history.

Unlimited Media

Every Tapestry account allows you to add an unlimited number of pictures and videos, meaning whether you’re a parent or a practitioner, you never have to miss a thing.

Unlimited Staff and Relatives

Managers can set up as many relative or staff accounts as they like. All family members or special adults in a child’s life can be set up on Tapestry.

Scheduling Options

If you have Observations, Memos or Activities prepped in advance, you can choose to schedule them ahead of time, rather than submit them straight away.

Flexible Notifications

Managers can set default notification settings, but users can choose how they’re notified—by email, internally, or via push notifications—based on their preferences.

Managing your users

Staff

There are three different staff user types you can add to Tapestry. You can have as many staff members on your account as you like.

Can see and do everything on an account. They can add staff, relatives, and children. Managers can control all the settings on the account, and choose to see anything uploaded to the Tapestry account.

We advise having at least two managers on any account.

Can log in with an email address and a password; the password can be chosen by them using an activation email, or a password can be set for them.

What they can see and do on an account can be set by a manager via user permissions.

Can only login with a 4-digit PIN once a manager or full staff member has logged in, and switched user.

Children

Child profiles are central to how Tapestry operates. You can add children to uploads and posts across the system, as well as set their schedules and attendance in the Management System.

Tapestry package prices are based on the total number of children you need.

Older children can use the Child Login feature to sign into Tapestry independently, allowing them to view their observations, and add their own throughout the day, including in response to Activities.

Relatives

Parents, carers and other relatives can be added to Tapestry, and linked to their children so they can see what they have been up to at your school or setting, as well as receive reports, daily logs and invoices.

They can log in to their own accounts, add their own observations (if you would like them to) and comment on posts made about their child.

Continue children's journeys

Whether a child is moving entirely, or just to a different part of the same school or setting, transitions can be challenging. You can help smooth the transition with Tapestry’s flexible and secure Transfer Children feature.

This allows you to transfer a copy of a child’s profile and all their existing data to any other Tapestry account. This means their future teachers can see all the observations, photos, videos and assessments lovingly curated throughout their previous years.

Customise your feature set

All features are included in the cost of a Tapestry package and they can all be enabled or disabled to meet the needs of your school or setting.

Managers on Tapestry can do this by going to the Features section within the Control Panel.

Track topics and goals

If you want to categorise something in an observation or reflection, you can use Tapestry Flags.

For other upload types—like Memos or Activities—you can use hashtags instead.

Just pop a hashtag (#) in front of any word in a Notes field to tag it. For example, #reading or #wellbeing.

This makes it easy to find posts later—just search or click on the hashtag to see everything that matches, on that features’ page. You can also use hashtags as filters to narrow things down.

View account activity

History

Managers can view everything that has happened on an account, including when and how people have logged in. This information can be found in the History section in the Control Panel.

Email Log

The Email Log records every email Tapestry sends—or tries to send—to users on your account. Managers can use it to track delivery status and confirm whether emails were successfully sent.
