Schools and settings outside the UK can now place bulk orders for beautifully printed journals— giving children a keepsake they’ll treasure for life,  and helping to support your school or setting.

With delivery fees for single books reaching £20 within Europe and nearly £40 for the rest of the world, printed journals can feel out of reach for many families. Yet these high-quality books capture a child’s learning journey and special moments with you — a keepsake well worth having.

To make printed journals more affordable and accessible, you can benefit from heavily discounted shipping – an average of £25 per book – when placing orders of 20+ books. Plus, you can earn a recommended £7 commission on each journal you order!

Advice for staff

Make sure you review the below advice article before exporting children’s journals for parents. It covers both the export process and important tips to ensure the journals are formatted optimally for printed books.

Bulk ordering that works for you

We know that different schools may want to approach bulk ordering in different ways. To help, we’ve created a simple step-by-step guide, with helpful resources to suit your needs.

Choose how you will order the journals.

Note: A minimum order of 20 books is required to qualify for bulk pricing.

You know which children you’re ordering journals for

If you already know which children will be getting journals, and whether these will be paperback or hardback, you will not need to collect order forms from parents. If you wish, you can send a Tapestry Memo to parents to let them know what to expect. A resource pack containing Memo text, photos, and a video is available to download below.

You will ask families how many journals they would like

If you plan to ask families how many journals they would like to order, and whether they would prefer paperback or hardback, you will need to collect orders from parents and carers. You can choose to either post a Tapestry Memo or use an order form to collect responses, either by hand or digitally.

Prices

A. Base cost (no added commission)

This option includes the base cost of the book, along with a discounted delivery fee.

B. Costs with added commission

The price list below includes an additional commission of £7.05 per journal, which you will receive. If you would like to adjust the commission amount, or subsidise part of the cost for families, you can download an editable Word version of the price list and tailor it to meet your needs.

Frequently Asked Questions

Is there a minimum order for bulk pricing?

Yes—bulk pricing starts at 20 books.

This means you’ll have to order 20 or more journals to take advantage of the discount.

I'm based in the UK, can we use this?

Discounted bulk ordering isn’t available to UK-based settings and schools yet. You can, however, order copies of multiple children’s journals from the Group Hugs website.

If you are in the UK and would like to be updated about the ability to order printed journals in bulk, do get in touch with us by emailing customer.service@eyfs.info. 

Can I have an example copy for my school or setting?

If you are a school or setting and would like to have an example copy for yourself, you can purchase an example pack directly from Group Hugs.

That includes:

  • An introductory letter.
  • A paperback example book. It will include a collection of observations for many fictional children, created by the team here at Tapestry to show the sorts of things that would appear in a typical Tapestry journal. These observations are not taken from any real Tapestry accounts.
  • A poster to display at your setting.

Can previous years' parents get one too?

It’s not possible for you to  add children’s journals that aren’t on your Tapestry account to your bulk order but parents can order it themselves, if:

  • The child’s journal is still available (the child is still active, deactivated or awaiting deletion) on your Tapestry account then you can export a PDF copy for the parents which can be used to order a printed journal. If the child is still active, parents can export the journals themselves. If the child is deactivated or awaiting deletion, you’ll need to do it for them.
  • The parents already have a PDF copy of the child’s journal. They’ll be able to upload old Tapestry journals directly to the Group Hugs website – always making sure that the journal is in PDF format.

They won’t be able to do this, if:

  • The child’s journal is no longer available on Tapestry and the parents don’t have a PDF. Data will remain in Tapestry backups for 90 days after a profile is deleted but after that it cannot be restored.
  • They have a PDF journal, but this was created using a different learning journal provider. Group Hugs printed journals are exclusive to Tapestry.

Is there a minimum or maximum page count to be able to purchase a printed journal?

Printed journals have a minimum requirement of 20 pages and can be no longer than 1600 pages.

Please note that after 849 pages the journal will be split into two printed journals.

What does the printed book look/feel like, and what size is it?

Both the hardback and softback have matt covers and are somewhere between A4 and A5.

The paperback is: 174 x 248mm

The hardback is: 180 x 254mm

The depth depends on the number of pages.

Do we have to add profile pictures?

If the child has a profile picture this will appear on the front cover of the printed journal, but you don’t have to add one.

If the child doesn’t have a profile picture, Group Hugs will use a colourful graphic of a tree on the front cover instead.

If you’d like to add a profile picture before exporting the children’s journals, the ‘How to upload profile pictures for children’ tutorial will talk you through the steps.

How long do journals take to arrive and is there a way to track the status of an order?

Group Hugs aim to dispatch all journals within 6 weeks from the date the order was placed but in quieter times it will likely be much sooner than that.

A confirmation email will be sent when an order is dispatched.

You can track the status of your order from the Group Hugs website using their virtual assistant (found in the bottom right-hand corner). You will need your order number.

I have got an issue with my order, who do I speak to?

In the unlikely scenario that you have issues with the ordering process or print quality, you should email Group Hugs directly at customerservice@grouphugs.co.uk. They’ll be able to assist!
