Setting User Permissions

This page covers how User Permissions work on Tapestry and shows you where you can set these User Permissions for the different user types.

User Permissions can be set for non-manager staff users, relatives and children who are using the Child Login feature of Tapestry.

User Permissions are set by managers on the account for each of the above user types to allow or restrict access to certain areas of Tapestry or certain individual functions of Tapestry Features that have been enabled on the account.

They are set via the Configuration menu or you can navigate to the relevant page to set User Permissions when you are enabling Features on Tapestry.

So let’s get started….

User Permissions do not apply to Manager users as they have access to all functions and features on the account.

User Permissions can only be set by Manager users on the account via the Configuration menu or when enabling features on your account.

To help you decide how to set your User Permissions for relatives, we would recommend that you take a look at this article we have written which covers different safeguarding and data protection considerations when adding relatives.

How to set User Permissions for specific user types

As a manager on the account, you can set User Permissions from the Configuration menu and selecting either the Relative, Staff or Children options as shown below.

Setting User Permissions works in the same way for all the user types, so we will just cover setting User Permissions for Relatives in these examples.

In our example, we will look at User Permissions for Relatives and what User Permissions can be set for relative users when they access Observations on the account.

Once you have selected which feature/function you want to set the User Permissions for, you will see a list of User Permissions that can be set for the user type for that feature/function.

You can see some of the User permissions that can be set for relatives for Observations below and you can scroll down to see the whole list on the User Permissions page.

If the User Permission has been granted, you will see Permitted in green next to the User Permission. If it is not permitted, it will say Not Permitted in the red box to the User Permission.

To change the permission and to set up Individual permissions for specific users, you just click on the Edit button.

The image below shows you what you will see when you edit a User Permission which has no individual permissions set for that User Permission

This User Permission is set with a default value of Permitted to allow all relatives to add observations on Tapestry but you can change this by clicking on the Not Permitted option.

If you want to set different permissions for an individual user, just click on Set Different permissions for some users.

Remember to click Save to save any changes.

The image below shows you how you can select individual User Permissions for relatives if you wish to with a list of active relatives that can be selected, when you check the box Set different permissions for some users.

You can choose to just show list of those relatives that are currently Active on your account or to include those relatives with the current status of Inactive as well by checking the box Show users that are not currently active which is the default.

Clicking on the individual permissions next to a relative’s name will override the deafault for that relative.

Remember to scroll down to the bottom of the page and press Save to save any changes.

When you have set individual User Permissions for individual users on Tapestry, you will see them listed for that permission as shown below:-

Setting User Permissions when enabling some Tapestry Features

When you have enabled some Features on your account, you will see the option to set User Permissions for the different user groups related to that Feature. Defaults will have been set for those User Permissions, but you can change these is you need to as described in the pervious section.

And that’s it! You now know how to set User Permissions for features and functions for the Tapestry user types and for individual Tapestry users as required!
