Getting Tapestry Ready: End of Year Checklists

The end of the school year tends to bring a sudden influx of admin: children leaving, new ones joining, staff and groups being reshuffled, and subscriptions that need a once-over before September rolls around. It’s easy for small but important jobs (like downloading a child’s learning journal before it disappears, or double-checking your invoice details), to slip through the cracks in the flurry of activity.

To make things easier, we’ve put together three End of Year Checklists tailored to how you use Tapestry: one for Early Years settings and Reception, one for Key Stage 1 & 2 and one for Childminders. Each one walks you through exactly what to do for children who are leaving, joining, or staying, plus any account and subscription housekeeping worth tackling before term ends.

Early Years End of Year Checklist

Covers everything from exporting journals and media before deleting a leaving child, to setting up new starters with Key Children, groups, and relatives. Also includes guidance on transitioning children into Year 1, including transferring them to a new package and setting up MAP scores.

Focused on the school year transition: moving children between classes and packages, reviewing Key Children and groups when teachers change, and setting or reviewing MAP scores as children move into a new Key Stage class.

Childminders End of Year Checklist

A streamlined version built around how childminders work day to day: adding and removing children, managing relatives and bill payers, and keeping your Management System sessions and pricing up to date for the new intake.

Whichever checklist applies to you, a few things are worth flagging up front:

  • Deactivations and deletions free up child spaces immediately – it takes 90 days to fully delete a child from your account, but the moment they are marked for removal, their space is freed up for a new child.
  • Deletions are reversible – deactivated children can be restored within 90 days, and journals stay downloadable during that window.
  • Relatives can still access downloads even after a child is deleted, as long as their own account stays active – so there’s no need to panic if a family hasn’t grabbed everything yet.
  • It’s a good moment to review your subscription – check your invoice recipient, package size, and that you’ve still got at least two managers on the account.
