In this tutorial we’ll take a look at how you can set up your Wonde integration and import child and relative data from your MIS (such as SIMS, Arbor, or Bromcom) into Tapestry. You can find out more about the Wonde integration on Tapestry here. Before you proceed with setting this up you will need to first purchase the Wonde integration; this tutorial will walk you through it, if you haven’t done so already.

This tutorial will cover the whole process for importing new children, the groups they’re in, and their relatives onto your Tapestry account. If you already have children on your Tapestry account that are going to be imported via Wonde for the first time, then these children will be linked with your MIS during the import.

The following data will be added during the import as read only (can not be edited on Tapestry):

  • Groups will be created
  • Children will be added to those groups
  • Children will be linked to relatives

The Wonde import cannot be used to update the data of children and relatives who have already been imported/linked to your MIS. If you need to amend any of the above data on Tapestry then you will need to make the updates on your MIS, and then the Tapestry data will be updated automatically during an overnight sync.

If you wish to delete children or relatives that have been added via Wonde then you will need to delete them on Tapestry. Removing them from your MIS will not delete them from Tapestry, but instead their Tapestry data will now be editable. 

A final thing to note before we get started is that the MIS integration is one way only: from your MIS to Tapestry. Therefore, anything you do on Tapestry to the children or relatives (such as deleting them) will have no impact on your MIS data. 

The Wonde MIS integration is only available to manager staff users via the browser version of Tapestry. 

Navigating to the Wonde MIS Integration section

First we’ll take a look at how to establish your MIS link, and then how you can import data once this has been done. Both actions will be done from ConfigurationWonde MIS Integration.

Before you can import any data, you will first need to link your MIS to Tapestry.

Enter your URN and then click Find school name. The school name will then appear and you can confirm if Yes, it’s correct. Then select Find Wonde account.

If you have not already given Wonde permission to share MIS data with us then you may see an additional page directing you to do so before you can continue.

If the email address that you’re logged into Tapestry with does not match that of an address linked to your MIS, then you will see this page and will need to follow the suggested steps.

If you are logged into a Tapestry account with an email that is registered on your MIS then a verification email will be sent to you, where you will need to confirm the integration. Please do check your junk folder for this. This is the final step in linking your MIS to Tapestry.

Once you have linked your MIS your’ll then be able to import data with Wonde. Click on Start to start an import.

The first step is to select the children to import. 

You can view all children, or filter by registration or year.

All children will display all of the children from your MIS. Whereas if you choose Registration or Year, you will need to apply a further filter to select one or multiple registration(s) or year group(s). You can select one or several by ticking the box(es) and then Done.

Once you’ve applied your filter all of the relevant children will be listed with their name, D.O.B., and import status. You’ll need to select those that you wish to import, either by ticking them individually or by ticking Select all.

You can use the tabs to view the Total children (which it defaults to), Children ready to import, those Already imported, or those Unable to import.

Once you are happy with the children selected for import, click on Go to select Relatives to move onto the next step. 

If a child shows as Child already imported they will not be imported again. You can click on their name to view their existing child profile within Tapestry. 

As mentioned above, if you need to amend their details within Tapestry you’ll need to update their details on your MIS, and Tapestry will then be updated in the overnight sync. 

If a child on your MIS has an existing Tapestry profile (that was added manually) then you can still import them from your MIS. This will merge the two child profiles (added manually + added via Wonde) into one child user that will then be linked to your MIS. You can click on A child to view the existing profile that will be merged with the MIS child.

On to the next step (after having clicked on ‘Go to select Relatives’) you will then need to select all of the relatives that you wish to import, either by ticking them individually or by ticking Select all read for import

You can see the relative’s name, the child that they are a relative of and will be linked to, their relationship to the child, their email address, and phone number. If you wish to filter the list by those with parental responsibility only then you can tick the relevant box. 

You can use the tabs to view the Total relatives (which it defaults to), Relatives ready to import, those Already imported, or those Unable to import. It it not possible to import relatives without an email address. 

Once you are happy with the relatives selected for import, click on Go to select account status to move onto the next step. 

If two relatives have the same email address within your MIS then you will only be able to import one of the relatives. Tick the relative you wish to import. 

If a relative on your MIS has an existing Tapestry profile (that was added manually) then you can still import them from your MIS. This will merge the two relative profiles (added manually + added via Wonde) into one relative user that will then be linked to your MIS. You can click on the relative’s name to view their existing profile that will be merged with the MIS relative.

Next (after having clicked on ‘Go to select account status’) you will need to select a status for the children that you have chosen to import. You can choose between Active or Enrolling. If you’re not sure of the difference between these child statuses please take a look at this post here

You can select the statuses individually next to each child, or, if you have enough child spaces to import them all with the same status, you can bulk select the same status for all children using the Select ‘Active’/’Enrolling’ for all children buttons.

You will see the child numbers for Available active/enrolling child spaces on your account update as you make the selections. When you’re happy click on Go to Select account status (relatives)

You now need to do the same for relatives: choosing between Activating or Not Activated, either individually or in bulk. There is no limit to the number of active relatives you can have on your account. 

If you select Activating the relative will receive an email from Tapestry to activate and set up their account. If you select Not Activated you can send this activation email to them at a later time from the Manage Relatives page, as shown in this tutorial

Once you’re happy with their statuses you can click on Go to Review and import for the final import step. 

On the last page you can review the data for import by clicking on the drop downs next to the data category: children, relatives, groups.

On the child and relative summary you’ll see their name, status and linked contacts. And the group summary will show you the name of the group to be created and which children will be added. 

If you need to make any changes you can use the Back button to go back through the previous steps. Otherwise, if you’re happy to proceed click on Import x children and x relatives to finish the process.

You import will be processed. 

Once the import has completed you’ll see your import updates on the right and the children, relatives, and groups chosen for import will have been created and added to your account.
