Keep accurate, digital records of accidents and medication in one place
Simple, digital records
The Tapestry Accidents & Medication feature allows you to record accident reports and medication administration digitally, reducing paperwork and keeping everything in one secure place.
Accidents & Medication can be enabled as part of the full Care Diary, or as a standalone feature for settings that don’t need the full suite.
It’s available on the app, as well as the browser version of Tapestry.
Want the full Care Diary too?
Accidents & Medication is automatically included as part of the Tapestry Care Diary; a fuller suite that also covers food consumption, toileting, sleeps, milk feeds, and more.
If you think you might need more than just Accidents & Medication, the Care Diary could be the better fit for your setting.
Record accidents and incidents quickly
Accidents can be logged with full details including what happened, any first aid given, and a Body Map if needed. As well as standard accident forms for within the setting, you can also record accidents that happened at home. Similarly with Incidents, event details can be added to help build a picture of what happened.
You can share and collect a digital signatures via Tapestry or obtain a physical signature in person. This means all the key safeguarding and welfare records your setting needs are in one place.
Manage medication records with ease
Tapestry’s medication records are designed to cover everything your setting needs to administer medication safely and keep an auditable log. For each child, you can record:
- Medication details — name, strength, and form (e.g. liquid, tablet, inhaler)
- Administration information — dose, unit, frequency, and time(s) to be given
- Treatment dates — start and end dates, plus expiry date of the medication
- Reason for administering and any known side effects
- Method of administration — including any specific instructions for how it should be given
Staff can then log each time medication is administered, building a clear and accurate record. Medication entries can also be exported in bulk alongside accident records for your own compliance and record keeping.

FAQs
Why does a parent need to sign off a planned medication before it can be administered?
When a planned medication is added to a child’s profile, it requires sign-off from a relative with parental responsibility before any administrations can be recorded. This allows the parent or carer to check the medication has been recorded correctly (for example, from a doctor’s prescription), and confirms that they have authorised the medication for ongoing use.
Can unplanned medication be administered without prior parent sign-off?
Within Tapestry, unplanned medications can be administered at any time, and a parent or carer can sign off the administration retrospectively — it will appear in the ‘Forms requiring sign off’ tab in their Care Diary. However, your setting or school will likely have its own administration policy for unplanned medications, so we’d always recommend following your own procedures.
Does a parent need to sign off all medication administrations?
Yes – each administration of both planned and unplanned medication requires acknowledgement from a relative with parental responsibility. This is in line with common best practice, and reflects how most settings already handle this on paper.
To make this as easy as possible, parents can sign off multiple administrations from an individual day in bulk on Tapestry, from the ‘Forms requiring sign off’ tab in their Care Diary. They don’t need to action each one individually, but can sign off all administrations from the same day at once; this could be done at the end of each day.
How do parents sign off medication, accident and incident records?
There are three ways that parents can sign off care forms on Tapestry:
- Signing a hardcopy/recording a digital signature in the school or setting
- Using a digital signature from their own device
- Using the ‘Quick Confirmation’ option from their own device
What option they see will depend on what has been chosen by a manager on the Tapestry account. The option can be changed or switched off by going to Configuration > Features > Care Diary Settings.
Parents and carers will see any forms requiring their sign-off in the ‘Forms requiring sign off’ tab in their Care Diary. From there, they can confirm all outstanding medication administrations in one go – useful if a child has received medication multiple times throughout the day.
Accidents and incidents cannot be signed off in bulk, and will still require individual sign-off.

Where can I see medication that has already been administered?
Administered medications appear in the child’s Care Diary timeline for that day, alongside other care entries. You can also see the last time medication was administered by clicking the Medication entry on a child in the Care Diary.
Where can I see a planned medication overview or a summary of administrations?
You can use the Care Diary monitoring screens to get an overview of medication administrations and any planned medications across your setting. You can find the tutorial that covers all reporting and export options here.
Why can't I add an accident from the 'Choose Action' bar anymore?
Accidents have moved out of the ‘Choose Action’ bar because it is not possible to add accidents for more than one child at a time, and there are now two types of accident you can record – an accident in the setting, and an accident at home.
To add an accident, you’ll need to tap or click into the child in the Care Diary and add the accident from there. Not sure where to find it? Take a look at our short video walkthrough.
How do I add an incident for multiple children?
Incidents can be added in bulk using the ‘Choose Action’ bar – select all the children involved, then choose ‘Incident’ from the menu. You can then amend the incident form individually for each child, similar to the way group observations can be split.
