How to delete and restore observations

This guide is going to show you how to both delete and restore observations individually and in bulk. 

“Managers” on Tapestry always have the ability to delete and restore any observations. 

There is a permission (within Configuration > Staff > Staff User Permissions) to allow Full Staff and PIN only staff the ability to delete observations, but they are not able to restore them. Restoring observations can only be done by a Manager. 

Please note, any observations you delete – either individually or in bulk – can be restored at any point provided that:

  1. The child(ren) the observation is linked to is still active and/or restorable.
  2.  You, or another manager, haven’t taken the additional step and selected to “Permentantly delete” those observations.

Deleting observations individually

To delete a single observation, first find it on the main list on the Observations screen. You can use the Filters and the Search bar to help locate it. Next, click the three-dots menu on the right corner and select “Delete”.

You will see a confirmation box pop up. If you wish to proceed with deleting this observations, select “Delete”. If not, press “Cancel.”

After confirming, you will be taken back to the main Observations screen and the observation you have just deleted will no longer be listed.

Deleting observations in bulk

To delete multiple observations at the same time, select them from the main list using the circles on left, then click “Choose Action” at the bottom. 

From the “Choose Action” menu, select “Delete”.

You’ll then be taken to a new screen where you can choose what to do with each individual observations. When you are happy with those choices, click “Update Observation Statuses”.

You’ll then be taken back to the main Observation screen and those observation will no longer be visible.

The first step in restoring deleted observations is setting your page filters so you can see deleted observations. Do this by clicking the “Filters” button > Select “Observations Status” > Select “Deleted” > Click “Apply”

Restoring an individual observation

Now you can see “deleted” observations on your main Observation list, restoring them is very simple. 

For an indivudal observation, just click the three-dots menu next to the title and select “Restore”

When you restore an observation that has been deleted, it will be restored with the status “not in journal”. 

To add it back to journal, click the three-dots menu again and select “Add to journal”.

Restoring observations in bulk

To restore multiple observations at the same time, select them using the circles on the left of the observation title > choose “Restore” from the actions menu at the bottom. 

You’ll be taken to a new screen where you can decide what action to take for each individual observation you are restoring. When you have made your selections, click the “Update Observation Statuses” button.

Similar to restoring an individual observation, these observations will be restored with the status “Not in journal”.

To add them back into journal, select them again using the circles and choose “Add to journal” from the action menu.
