Setting up the Care Diary

This post covers how to set up the Care Diary if it was not enabled already as part of your account set up.

The next tab covers the steps you need to take to enable the Care Diary on your account. This will also cover how to enable the Care Diary for relatives on your account.

The third tab shows you how to enable the Care Diary for relatives and also set it so that all entries have to be approved before being visible for relatives. This section also covers how to set Meal times and also which type of entry on the Care Diary you would like to have a list of autocomplete options for.

The final tab shows you how to enable or disable any user permissions for the Care Diary for relatives related to the visibility, addition and deletion of comments by a relative on the Care Diary.

Let’s get started!

Only Manager type users can enable features and change settings for features on Tapestry.

Enabling the Care Diary

To enable the Care Diary feature, you will need to go to Configuration on the main menu, and then select the Features option.

The Features are in alphabetical order and you will find the Care Diary feature close to the top. By default, this will be shown in red if it is currently disabled, indicating it is not enabled on your account yet. To enable it, click on the green Enable button as shown below.

Once you have enabled the Care Diary, you will see that the Care Diary option now appears on your Tapestry main menu.

For relatives to be able to see this too, you need to enable this for them, which is covered in the Care Diary Settings tab.

Once enabled, the heading in the Features section appears green, and you will find a shortcut to quickly access the Care Diary Settings. The next tab talks about the settings in more detail.

The next section covers the settings you can have for using the Care Diary for staff and relatives.

To access the Care Diary settings, head to Configuration Features Care Diary Settings

Enabling Care Diary for Relatives and more

When the Care Diary is enabled, you will see the first option, Enabled for use, already ticked. If you want relatives to also access the Care Diary, you can tick the option Enabled for Relatives and if you want staff to have to approve entries before relatives can see them, then you can also tick the Staff must approve relative access to entries option as well.

Remember to select Save to save any modifications to the settings that you make.

When first setting up the Care Diary, you may see the Enabled for accidents only option; this has been designed so settings that do not wish to use the entire Care Diary can still access the accidents feature. If you wish to use the entire Care Diary, make sure that this is left unticked.

Adding Meal Times

If you wish to, you can set up default meal times that you can use in your drop down menu/list when adding care diary entries. This will save you having to enter a specific time every time you add a meal entry for a child or multiple children.

When you first set up the Care Diary, there won’t be any entries here; once you have set these up, then you will see them under Meal Times. You can adjust the time of the meal from the hour and minute drop-downs and you can also give the meal a name.

To add a meal time you would like to appear in your drop down list, click on New Meal Time.

Selecting the new New Meal Time button will then allow you to add a Meal Name and adjust the meal time as required.

When you are happy, you need to make sure you click Save to add your meal time details.

When you have entered your meal time/s, you will see them on the settings page and you can delete and re-enter these whenever required. There is an example below to illustrate this.

Autocomplete Options

The Food, Meal Drinks, All Day Drinks, Milk and Sleep Care States and Locations fields displayed when making Care Diary entries will remember previously entered values. This can be useful if you regularly re-use a small number of items (e.g. food, drinks) but might not be suitable for larger settings. See below for an example of this.

In the Autocomplete Configuration section, you can choose which fields you would like to have autocomplete options provided for and you can do this by checking the box for that option. The ‘i‘ icon for each will provide further details about that option.

Once you have enabled or disabled the autocomplete options you want for your account, you just need to press Save to keep the changes.

If using autocomplete on your account, you can decide how you want the options for your food and meal drinks to be ordered. After setting this just remember to click Save.
Once you have added a text entry for Food, Meal Drinks, All Day Drinks, Milk, Sleep Check States and Sleep Check Locations on the Care Diary, you can then change, amend or delete this autocomplete option from the Modify Autocomplete Options section. You can edit the autocomplete entry within the text box and if you want to delete an entry entirely you just need to click on the Remove x option. Once done, you just need to click Update to save any changes.

And that’s it! You have seen how to add and change the settings for the Care Diary. Next you can see how to set the relative user permissions for the Care Diary if you have the Care Diary enabled for relatives.

When you have the Care Diary enabled for relatives, on the Configuration -> Features page under Care Diary, you will see the option Relative Permissions which will take you straight to the page where you set relative user permissions for the Care Diary. You can also reach this page via to Configuration -> Relatives -> Relatives’ User Permissions -> Care Diary.

The user permissions that you can set for relatives for the Care Diary are related to Care Diary comments and are shown below as they appear on Tapestry.

You can set the permissions for all relatives to Permitted or Not Permitted and as with all user permissions, you can also set different permissions for individual users by selecting Edit to change permissions for those individual users.
