Exporting children’s learning journals

In this tutorial we will show you how to export a child’s learning journal as a PDF for relatives and staff and how to download them. Please note, the exporting process can only be done by a “Manager”, not Full or PIN only staff. 

Some other important points before we start:

  • These PDF exports will not include any videos of the children. You can make a separate export for just pictures and videos by following this guide.
  • Using this PDF, parents can purchase printed books of their child’s journal through our partner publishing company, Group Hugs.

Creating the PDF export

To start, go to the “Configuration” menu by clicking the icon on the bottom-left, then select “Children” and then “Manage Children”.

Next, you can select the children you want to export the journals for by using the tick boxes. Once selected, choose “Export Journals as PDFs” from bottom-right menu and press “Go”. 

On the next screen is where you choose the options for who the PDF journal is for, what it will contain, and how it will look. 

Start by choosing the “Recipient“. You have two options: Staff or Relatives. 

Choosing relatives will show you an additional option for allowing relatives to download. Tick this box if you want your relatives to be able to download this PDF themselves from their own accounts. 

Next you need to set the “Date Range”. The PDF will only contain posts that fall within this range. 

Then, choose if you want to include Group Observations and observations created by relatives. 

Lastly, choose if you want to include Reports.

At this point, you could also expand the “Advanced” tab and make any changes to these options as well.

When you are happy with your choices, click “Submit” and you’ll be taken to the confirmation screen.

Viewing your Downloads

You can either go back to the Manage Children page, or view the downloads you’ve just created.

Clicking “View your Downloads” will show you the status and other information about the downloads you’ve just created, as well as any others which are still active on the account.

This Downloads page can be accessed anytime by clicking “Documents & Downloads” from the homepage.
