In this tutorial we are going to look at the different ways you can see the number of observations a child has on Tapestry. We will look at:
- Viewing the total number of observations for a child
- Viewing the total number of observations added by a staff members.
- Viewing the total number of observations added by a relative.
- Seeing the number of observations that a child has with EYFS flags.
To see this information, you will need to go to the child’s overview page. You can access this page in a number of different ways by:
1. Going to an observation for the child > clicking on their name.
2. Going to the Children tab on the menu on the left > click on the drop down to the right of the child’s name > then selecting Profile.
3. Selecting Configuration > Children > Manage Children > then clicking on name of the child.
Once you are on the child’s overview page (via any of the above 3 ways) you can see their total number of observations where it says See all [number of observations] for [child’s name]. This includes all types of observations: in journal, not in journal and staff only.
To access this screen you will need to click Planning & Monitoring from the left hand menu > Monitoring > then select the General tab. Once you’ve done this please select the Individual View in the Staff Observation Counts section, to look into individual children.
Please note: by default only managers will be able to see this screen. If you want all staff to be able to access it you will need to enable the ‘Analysis‘ Staff User Permission for ‘Use staff observation counts screen‘. This tutorial talks you through the user permissions on Tapestry.
When you go onto this screen you will see filters at the top; these will allow you to select how, and what information, you see on this screen.
The first filter sets the period you want to view the count for. You can choose to view a specific assessment period, the full history on your account, or a custom period of your choosing.
The drop-down Child list can be used to select the child you’d like to view the data for.
And the Observations filters can be used to select the types of observation you want to be included in the count.
You will then see a chart with the name of each member of staff in the first column. In the next column, referencing the staff member in that row, you can see how many observations they’ve added for that child in the chosen period, and whether they’re a Key Person for the child or not.
At the top you’ll see a number with the total of observations added for the child within this period from all staff members.
If you have lots of staff on the account, you can use the scroll bar along the right-hand side of the chart to scroll through the staff members.
To access this screen you will need to click Planning & Monitoring from the left hand menu > Monitoring > then select the General tab. Once you’ve done this please select the Individual View in the Relative Activity section.
You will then be able to filter through a period, either an assessment period or a custom made period, and the corresponding child.
The first column will show a list of all of the relatives linked to the child, and the second will show how many observations have been added by each relative.
If you’re using the EYFS flag set and you want to be able to view the number of observations and/or reflections that have been made for each area and/or aspect of learning for different periods then you can do so using the Thoroughness screen. If you need to enable the flag set first then you can find out how here.
You can find this screen by going to Planning & Monitoring on the left hand menu > Monitoring > EYFS > in the Thoroughness box select either the Individual View or Group View.
In this tutorial we will look at the Group View. At the top of this screen you can choose which period you are viewing this for and in the Children section you can filter down which children are included.
Then in the chart you will see on the left-hand side the different areas and aspects of learning (if you have the Birth to 5 aspects enabled). At the top you will see the names of all the children you have selected to view. You can use the scrollbar to move between them.
Underneath each child’s name you will see how many observations and, if you have them enabled, reflections that they have for each area/aspect.
